Guest Guarantees

A final guarantee of attendance is required by 10 a.m. three (3) business days prior to your event. This number is not subject to reduction. If a guarantee is not provided by the due date, we will use your final estimate as the guest count guarantee. It is possible that an earlier guarantee date will be necessary for groups with more than 100 guests or with special menus. Our policy is to bill for the actual attendance or the final guaranteed guest count, whichever is higher.

Bay Laurel Catering purchases some products from outside vendors. Should a vendor fail to deliver an order in a timely fashion, we may substitute a comparable menu item to meet your needs.
Gratuities
In compliance with state laws, University of Washington employees are not allowed to accept gratuities (RCW 42.22.040).
Minimum Orders
There is no minimum order for pickups. If you require delivery service, we request that your order meet the following minimums:

Monday through Friday
Boxed meals: 8
Food and Beverage Deliveries: $80
Attended Breakfast and lunch orders: $225
Attended Dinner orders: $350

Weekends
Boxed meals: 15
Food and Beverage Deliveries: $150
Attended Events: $500
Can't meet the minimums? Consider picking up your order from our catering kitchen, located in Haggett Hall. Call us at 685.2051 to make arrangements for pickup.
Cancellations
Cancellations should be communicated to your Catering Sales Representative as soon as possible. Cancellations submitted less than three (3) business days prior to the event date will be charged up to 100%.
Alcohol
The state of Washington requires a posted Washington State Liquor Control Board banquet permit at events serving alcoholic beverages on campus. An application must be submitted to the Office of the Committee on the Use of University Facilities before obtaining a banquet permit. Please discuss this process with our staff when scheduling your event. Your Catering Sales Representatives will be happy to assist in the purchase of your banquet permit and/or alcoholic beverages for a $50.00 service fee. Banquet permits are $10.00 each and the prices of alcoholic beverages vary based on selection. Food and non-alcoholic beverages should be available when serving alcohol. When Bay Laurel Catering is staffing your function, we reserve the right to control the service of all alcoholic beverages.
Cash bars for non-profit organizations are permitted on the University of Washington campus with a Special Occasion License. Before applying for a Special Occasion License from the Washington State Liquor Control Board, an Authorization to Apply for a Special Occasion License Form must be completed by the applicant and approved by the Committee on the Use of University Facilities. The form must be filled out six to eight weeks before the event to allow sufficient time to obtain the appropriate approval signatures. Cash bar fees are an additional $1.00 per person to cover cash setup, sales and final accounting.
The client must remove all alcohol remaining after the event. Bay Laurel Catering is not responsible for leftover alcohol. All remaining alcohol not removed by the client will be discarded.
